Recommend email services for accounts

We do not provide email accounts. if you would like to use yourname@yourdomain.com, you will need an external provider.

The email accounts we do provide are for technical configuration and verification only. They receive email but do not send email.

You will also need to setup some MX records on your DNS system (Dynamic name server). Usually this is done via your Cpanel account. If you are using an alternative solution such as Cloudflare to manage your DNS, you can access the records there. The documentation from your email provider will guide you through this process.

  • Protonmail is the best email platform for security. It gets more expensive if you need more than one email address https://protonmail.com/pricing
  • Tutanota is not as secure as proton, but cheaper. this service is still pretty good protection.
  • Gsuite offers free email for NFP via the techsoup/connecting up program . Remember that google can access all email and due to very weak protection laws means, assume all email is easily accessible to the state. If you are paying for Google email, i recommend switching. Setting up google reCAPTCHA for email forms

Warning, the reCAPTCHA system is part of Google’s surveillance capitalism system. It helps google collect data on your users.

  1. Sign in/create google account
  2. go to recaptcha admin console https://www.google.com/recaptcha/admin/create
  3. Label: up to you, i use domain
  4. reCAPTCHA type: v2
  5. Domains: add your domain
  6. Accept terms
  7. Choose weather you want failure notifications
  8. Click submit
  9. Save site and secret keys

For gravity forms:

  1. Dashboard > forms > settings
  2. Scroll to bottom
  3. Add site and secret key
  4. complete reCAPATCH test
  5. save settings

 

Setting up emails services for WordPress

WordPress requires email services to do password resets (and other admin functions) as well as for sending email forms. If you do not require contact forms and have multiple admins to mange password resets, you will be able to do without email functionality on yourwebsite.

If you need email, then you will need to setup your own “SMPT” relay which is the actual technology that sends email from a server.

There are a number of plugins that handle the WordPress side of the SMPT setup that work well.

We recommend https://wordpress.org/plugins/post-smtp/
This plugin provides free logs, used for testing and debugging. The “WP Mail SMTP by WPForms” plugin only offers logging with their paid version.

Using Google’s SMPT

if you already use gmail for email, you can use Googles SMPT.

I recommend setting up a seperate email to use for SMPT, rather than your personal or work one.

Using Sendgrid’s SMPT

Sendgrid is primarily used to send email newsletters. This service is free for sending under 100email per day, so works really well for our purpose here. You will need to setup a seperate sedngrid account for every domain you want to use.

Additionally you need to set your email as the Wp administrative email under general settings for password resets

ideally you have an email setup using your domain eg wp@yourdomain.com

our email accounts receive email, but do not send email. You can setup an email to use as the relay and use cpanel to access the verification screens
